Provance Featured as a Special Guest – SCSM User Group Meeting

Provance is pleased to have been featured in the SCSM User Group Meeting October meeting, where Gord Watts presented the Provance IT Asset Management Pack and Provance Data Management Pack. The online event featured Chris Ross of Catapult Systems demonstrating extreme customization of the Self Service Portal for Microsoft System Center Service Manager.

Provance Recognized for Innovation and Microsoft Integration in Latest Gartner MarketScope

In the new MarketScope for the IT Asset Management Repository published earlier this month, Gartner Research evaluated 13 ITAM solutions targeted at midsize and large enterprises. Provance was rated overall as “Promising,” receiving recognition from Gartner for strong integration with Microsoft System Center and ability for rapid innovation. The lack of multitenancy support in the Microsoft platform and a bar coding solution are Gartner cautionary notes. Gartner particularly recommends the Provance IT Asset Management Pack as an option for small and midsize Microsoft-centric businesses.

According to the Gartner MarketScope rating framework, the “Promising” category is defined as “Shows potential in specific areas; however, initiative or vendor has not fully evolved or matured.” Although Provance has been included in all of the recent IT Asset Management Repository MarketScopes, this is the first time the company’s assessment is based on the newly-released Provance IT Asset Management Pack for Microsoft System Center Service Manager 2010. Only three very large IT operational suite vendors, BMC, HP and CA, achieved a higher rating in the “Positive” category. After just 18 months in market, the debut version 1.0 release of the Provance IT Asset Management Pack rates strongly relative to these mature solution offerings with a long time market presence.

The Cost of Excess IT Inventory

Cutting CostInventory carrying costs can be significant. Without significant volume purchase economies, costs can quickly mount. As this applies to IT assets, certain items will always be required to be in inventory based on long lead times, or as a critical component.

Other IT assets however are not as prone to supply disruptions and have rapid availability. While some safety stock is required to ensure that the organization operates efficiently, carrying large IT inventories adds additional costs beyond just the asset purchases. Excess inventory introduces hard costs for warehousing, utilities and salaries, obsolescence, shrinkage, and lost proof of ownership. In addition, further soft costs are incurred through reduced ability to adapt to changes in technologies. Software assurance costs will continue, and will be required to keep the software current.

With an active Information Technology Asset Management (ITAM) program, you will significantly increase the visibility and control of your current inventory. Your ITAM systems can connect your Human Resources or Identity Management tools (such as Active Directory) to your IT inventory to match employees to resources and identify existing availability. With an active ITAM program you will have details of assets in storage, by location to allow you to quickly verify your inventory position. The Provance IT Asset Management Pack for System Center Service Manager (SCSM) will also compare Software License Entitlement with Licensed Installs to determine the availability of software inventory and allow you to eliminate redundant orders.

Managing Cloud licensing and portal access can be and even bigger waste if these resources go unused. Managing these assets by their user base, with contract expiry alerts will help to control these ongoing costs.

An ITAM program is a must for IT inventory control, and cutting associated costs. An ITAM program will provide better information and processes and better allow your holdings to match your requirements.

Negotiating Leverage in Software Audits

Software Audit Negotiation - ProvanceGiven the increasing frequency of software license audits, it’s just a matter of time before you are contacted by one or more vendors. You need to be as prepared as possible for the inevitable software audit, and minimize the potential risk  of non-compliance.

There is a significant power dichotomy between software vendors and the purchasing organization. Software assets typically pass through separate teams in purchasing, legal, IT support and other departments. Complex usage agreements tend to only be revisited annually at best, or more likely every three years. Software vendors maintain extensive knowledge of their agreements, along with dedicated account managers and legal teams with extensive knowledge of your organization. Software management is their business.

Many of the traditional tools of negotiation are blunted in a software contract renewal. Vendors understand that switching costs are high – the removal and redeployment of applications, retraining for users, as well as for support – and can easily amount to several times the purchase price of the software. Your software ‘purchases’ are just licenses to access and use the software. With very few exceptions you do not “own” the software and cannot resell it. Support options are limited, as third party support options are rare.As well, in many cases ongoing support is required to maintain compatibility with other applications. Negotiating leverage after an audit or at the scheduled renewal period can be greatly diminished.

Your real power in will be rooted in clearly understanding your current software asset position, and planning for your future software upgrades and revisions. Understanding your current position will allow you to assess where software, and its maintenance, is required or not, as well as to understand and identify competitive opportunities for replacement.

Organizations need to plan ahead for the inevitable software audit. Information beyond just the count of installed licenses is essential to support effective negotiation. An active Software Asset Management (SAM) program, including automated software inventory and usage details, controlled purchasing and contract entitlement will provide you with certainty in your software license position. Establishing a SAM program will take time, however will cut the costs of preparing for the audit, and allow you to maximize your negotiating leverage and deliver the best value for your organization.

Simplify Data Import with the Provance Data Management Pack for SCSM

Provance Data Management Pack for SCSM RelationshipMaintaining up to date and accurate data is essential to support efficient IT service and asset management. Manual data entry is time consuming, expensive and is prone to data entry errors. Traditional data import into Microsoft System Center Service Manager 2010 (SCSM) requires several steps and XML coding to import your CSV files. The Provance® Data Management Pack for Microsoft System Center Service Manager 2010 (DMP) simplifies the process of getting accurate data into and out of SCSM. The Provance DMP’s wizard driven interface allows for simplified connection to a SQL Server database or CSV file, visually mapping data to its destination in the SCSM CMDB.

Cheat Sheet – Microsoft SAM Optimization Model

Microsoft created the Software Asset Management (SAM) Optimization Model to provide guidance for implementation of a SAM program aligned with the ISO 19770-1 standard. If you are looking for a tactical framework to evaluate your SAM policies without having to interpret and adapt ISO 19770-1, Microsoft SAM Optimization can help.

The Microsoft SAM Optimization Model leverages specifically defined tipping points to establish an organization’s  SAM maturity, as well as to plot a path for ongoing improvement. Consistent with the Core Infrastructure Optimization Model, organizational maturity is measured and ranked in one of four levels (Basic, Standardized, Rationalized and Dynamic) across 10 competencies. The SAM Optimization Model Key Competencies are aligned and mapped to the key categories and requirements from the ISO 19770-1 framework: Assessing (i) management policies, and improvement plan; (ii) Inventory and its accuracy; (iii) License entitlement records and evaluation periods; (iv) Operational use of the information, and; (v) The asset lifecycle process, including acquisition, deployment and retirement.

Some of the key areas of assessment are highlighted below in their Microsoft SAM Optimization maturity categories:

1) Basic SAM (Ad Hoc)
Organizations are categorized as basic if they maintain little in the way of policy and control of their software assets. These organizations tend to overspend, and under license, and are constantly in a crisis mode with respect to their software assets.

Percentage of assets tracked, software purchased through central procurement, and software reuse: >68%

2) Standardized SAM (Tracking Assets)
Organizations with a Standardized SAM Maturity will have some processes and controls in place, but are not using the information in any meaningful way. These organizations will have implemented tracking tools, and centralized data repositories, however may not have fully reliable information. Audit is annual.

Percentage of assets tracked, software purchased through central procurement, and software reuse: 68-96%

3) Rationalized SAM (Active Management)
Organizations with a Rationalized SAM maturity will be leveraging their data ant tools, and will be actively managing their software assets. Policies and procedures will be in place, proving support for decision making with accurate information however in a reactive format. Audits are quarterly.

Percentage of assets tracked, software purchased through central procurement, and software reuse: 96-99%

4) Dynamic SAM (Optimized)
Organizations with Dynamic SAM maintain near real-time insight into their software assets, and are able to leverage the information for long term planning and proactive decision making, and continual audit processes.

Percentage of assets tracked, software purchased through central procurement, and software reuse: 99%+
